How account deletion works at BeeNet

BeeNet is a platform for organizations (schools, sports clubs, daycares, community centers). Your account was created by — and is managed by — the organization that invited you. Account deletion therefore normally goes through your organization administrator (your school, club, or daycare).

However, under the EU General Data Protection Regulation (GDPR) and similar laws, you always retain the right to contact BeeNet directly as the data controller. If your organization is unresponsive, refuses a legitimate request, or no longer exists, you can appeal directly to us.

This page is available without logging in, as required by the Google Play Data deletion policy.

Step 1 — Contact your organization administrator (recommended)

The fastest way to delete your BeeNet account is to contact the administrator of the organization that invited you:

  • For parents and students — contact your school principal, school secretariat, or the staff member who invited you to BeeNet
  • For sports club members — contact your club manager or coach
  • For daycare families — contact the daycare director or the educator responsible for your child's group
  • For community center members — contact the center administrator

The organization administrator can remove your account directly from the BeeNet admin portal. Deletion at this level is usually completed within minutes.

Note: Your organization may retain certain records (e.g., attendance, grades, enrollment history) as required by educational or sports regulations, independently of BeeNet. These are records held by your organization, not by BeeNet, and are governed by the organization's own privacy policy.

Step 2 — Contact BeeNet directly (appeal path)

If your organization is unresponsive, refuses your request without a valid legal basis, or no longer exists, you can submit a deletion request directly to BeeNet. Under GDPR, we are required to respond as the data controller of the BeeNet platform.

By email (preferred)

Send a deletion request to [email protected] from the email address associated with your BeeNet account.

Please include:

  • Your full name
  • The phone number or email you use to sign in to BeeNet
  • The name of your organization (the school, club, daycare, or center)
  • A brief explanation of why you are contacting us directly (e.g., "my organization did not respond within 14 days", "the organization has closed", "my request was refused without justification")
  • The subject line: "Account deletion request — direct appeal"

What happens after your request

  1. Verification (1–3 business days) — We verify your identity to prevent unauthorized deletion requests. This may involve confirming a code sent to your registered phone number or email, or providing proof of identity for postal requests.
  2. Organization coordination (when applicable) — If you contact us directly, we may notify your organization administrator to resolve the request cooperatively, unless you request otherwise for valid reasons (e.g., the organization is the source of the dispute).
  3. Grace period (30 days) — Once approved, your account enters a 30-day grace period during which the deletion can be cancelled. During this period, you cannot sign in.
  4. Permanent erasure — After 30 days, your personal data is permanently erased from our active systems.
  5. Backup overwrite (up to 90 days) — Backup copies containing your data are overwritten within 90 days of permanent erasure.

The total maximum time from request to full erasure (including backups) is approximately 120 days. We will respond to your initial request within 30 days, as required by GDPR Article 12(3).

What data is deleted

When your BeeNet account is deleted, we erase the following from the BeeNet platform:

  • Your profile information (name, email, phone number, profile photo)
  • Your authentication data (password hashes, OTP history, device bindings, refresh tokens)
  • Your messages, attachments, reactions, and read receipts on BeeNet channels
  • Your channel and group memberships
  • Your push notification tokens
  • Your login history and device fingerprints
  • Your 2FA settings and recovery codes
  • Your preferences and settings

What data is retained (and why)

Certain data must be retained to comply with our legal obligations, even after your account is deleted:

All retained data is stored under strict access controls and is used only for legal compliance — never for marketing, profiling, or any commercial purpose.

Important: Records held by your organization (attendance registers, grade reports, enrollment history, etc.) are not deleted by BeeNet. These are held by the school, club, or daycare under their own legal obligations (often educational regulations). To request deletion of those records, contact your organization directly.

Special cases

If you are a minor

If you are under the age of majority in your country, your parent or legal guardian must make the deletion request on your behalf. Contact your school administrator first, as schools maintain the parental-consent relationship under COPPA (United States) and GDPR-K (European Union). If the school is unresponsive, your parent or guardian may appeal directly to BeeNet following Step 2 above.

If you are a parent requesting deletion of your child's account

Follow the same procedure. In Step 2, include:

  • Your child's full name
  • Your relationship to the child
  • The school or daycare that invited the child
  • A copy of proof of parental responsibility, if requested

If your organization has closed or no longer uses BeeNet

Contact BeeNet directly using Step 2. We will process the deletion without requiring organization approval, since no administrator is available.

If you are an organization administrator and want to delete your entire organization

Contact [email protected]. This is a separate process that requires verification of your authority to act on behalf of the organization. It may involve a data-export handover so your organization can retain its own records (e.g., attendance history, invoices) outside of BeeNet before the data is erased from our systems.

We are committed to responding to all deletion requests within 30 days, in accordance with GDPR Article 12(3). You will never be charged a fee for exercising your right to deletion.
