Onboard families and staff with one invitation code, not a shared password
orgAdmin and systemAdmin roles send controlled invitations that recipients accept with a single code — in the admin portal or the mobile app. No manual account creation, no shared logins.
What Makes This Different
Invitations keep onboarding fast for new members and controlled for administrators.
Access stays with leadership
Only orgAdmin and systemAdmin can create or manage invitations. No individual staff member can invite people into your organization on their own.
Resend or revoke anytime
An invitation that never arrived can be resent. One sent to the wrong person can be revoked. Both actions are available in the admin portal and the API.
One code, two ways to accept
Recipients accept the same invitation code from the admin portal or the mobile app's accept-invitation screen — whichever they open first.
Built for real onboarding, not just staff
Beyond individual invites, the mobile app also carries organization-request and waitlist screens, covering how new organizations and pending members actually enter BeeNet.
How Invitations Work
A controlled path from admin action to accepted membership.
Send an invitation
orgAdmin and systemAdmin create invitations for new families or staff from the admin portal or via the API.
Resend when needed
If a code was missed, lost, or never opened, resend the same invitation without starting over.
Revoke before it's used
Sent to the wrong person, or plans changed? Revoke the invitation before it's accepted.
Accept with a code
Recipients enter their invitation code to join — supported in the admin portal and the mobile app.
Mobile accept-invitation screen
The mobile app has a dedicated screen for accepting an invitation code, so new members can join without touching a desktop.
Organization requests and waitlist
Beyond individual invites, the mobile app also handles organization-request and waitlist onboarding screens for members entering that way.
How It Works
An admin creates the invitation
orgAdmin or systemAdmin sends an invitation to a new family or staff member from the admin portal.
Resend or revoke if plans change
If the invitation goes unanswered, resend it. If it was sent by mistake or is no longer needed, revoke it — both available in the admin portal.
The recipient accepts with their code
Anyone with a valid invitation code can accept it — in the admin portal, or on the mobile app's accept-invitation screen.
They're in
Once accepted, the new member has access under the role they were invited into — no separate account setup step.

Invitation creation is restricted to your administrator roles, so who gets access to your organization is never left to chance.
An invitation isn't a one-shot action. Mistakes and missed invites are fixable without asking IT for a workaround.
New families and staff join with a code they can enter from a phone or a browser — no shared credentials, no manual account creation on your side.
Common Questions
Who can send invitations to new families or staff?
Only users with the orgAdmin or systemAdmin role can create or manage invitations. Individual staff members and teachers cannot invite people on their own.
Who can accept an invitation?
Anyone holding a valid invitation code can accept it — the code itself is what grants entry, not a separate account or role check.
What if an invitation never gets opened?
Resend it. Resending is supported in both the admin portal and the API, so a missed invite doesn't require starting the process over.
What if I invited the wrong person, or plans changed?
Revoke the invitation. Once revoked, the code can no longer be used to join — available from the admin portal or the API.
Can families or staff join from the mobile app?
Yes. The mobile app has a dedicated accept-invitation screen, plus separate screens for organization requests and waitlist onboarding for members who enter that way.
Can I bulk-invite an entire class or staff roster from a CSV file?
Not yet. Bulk invitation import isn't available in the admin portal today — invitations are created one at a time. If you're onboarding a large group at once, plan for individual invites rather than a batch upload. Similarly, the mobile app doesn't yet let a user look back at pending or expired invitations after they've accepted one — status tracking for invitations currently lives in the admin portal.
